Privacy Policy

This privacy policy applies to all personal information collected, used, disclosed and retained by the Molly Towell Perinatal Research Foundation (the “Foundation”) with respect to grant and funding applicants and is in accordance with applicable provincial legislation. The Foundation is accountable and responsible for personal information under its control and has established these guidelines, procedures and practices to safeguard the personal information of our applicants.

The Foundation collects, uses and discloses personal information only with the consent of the applicant or as otherwise allowed by law. Collection, use or disclosure of personal information may be express, deemed or implied, as appropriate. In determining the appropriate form of consent, the Foundation will consider the sensitivity of the personal information and the reasonable expectations of the individuals involved. Individuals may withdraw their consent at any time, subject to legal or contractual restrictions.

The Foundation collects, uses and discloses only that personal information which is reasonably necessary to carry out its mission and keeps personal information for only as long as necessary for the identified or organizational purposes and as required by law. Collection of personal information is strictly for the purposes of the Foundation, and will not to be sold, bartered, or traded to any other individual or entity without the express permission of the individual.

Information is to be collected primarily for the purposes of adjudicating research and funding applications, as well as maintaining an e-mail list for electronic communications to applicants.

Successful applicants’ personal information will be shared on the website to describe his or her research, including pertinent information concerning the applicants’ professional and academic background.  The Foundation will make reasonable efforts to have information outlining research objectives and outcomes drafted or authorized by the applicants prior to posting to the website.

A mailing list will be maintained on the Foundation’s website database and will not be available to the public. Only information relating to the Foundation’s activities, research funding application processes, or information relating to the Foundation’s interaction with similar academic organizations and Faculties will be permitted for distribution to the applicant mailing list.

Should the Foundation use a web hosting service provider or other provider holding personal information outside of Canada, the personal information provided may be accessible to authorities in that jurisdiction. The email system maintains only email addresses, and recipients’ first and last name.

The Foundation protects the privacy of personal information with safeguards appropriate to the sensitivity of the information.  For example, applications which are submitted electronically through the website are transmitted with encryption and recorded in a password protected database and accessible only to those individuals who require such information to address the grant applications such as adjudicating committee members, Board members, and the Foundation administrator. The Foundation will use care when destroying or disposing of personal information to prevent unauthorized access, use or disclosure of any personal information.

Questions, inquiries or requests related to privacy or the existence, use and disclosure of personal information pertaining to an individual are to be made in writing to  the Foundation’s Privacy Officer, Brian Phillips, the Secretary/Treasurer (privacy@mtprf.org). The Foundation will investigate and consider all complaints regarding personal information and provide a written response to the applicant accordance with the applicable provincial legislation.
